Candidate Privacy Policy

You have expressed interest in employment or internship opportunities with Anakot S.A.S. ("Company"). This Candidate Privacy Notice ("Notice") describes our practices with respect to any Personal Information we collect about you in connection with your application for such employment or internship opportunities. "Personal Data" means any information that identifies you or may identify you. Personal Information submitted elsewhere to the Company and its affiliates for other purposes will be used in accordance with the privacy notices governing those other opportunities or activities.

INFORMATION WE COLLECT

Personal data you provide

We collect your Personal Data in order to process your application, to comply with the Company's legal obligations and to pursue its legitimate interests, such as transferring Personal Data within the Company and its Affiliates for internal administrative purposes. We may collect the following Personal Data from you in connection with your application:

- Name, address, telephone number, e-mail address, postal address and other contact details;
- Online account, username and password;
- Work permit status ;
- CV, cover letter, skills, previous work experience and educational information;
- Professional and other work-related licenses, permits and certifications held;
- Reference information;
- Salary plan information and other information related to the hiring process (if hired); and
- Any other information you choose to provide (e.g. employment preferences, willingness to relocate, current salary, desired salary, bonuses or professional affiliations).

Your decision to apply for a job and provide us with Personal Information is voluntary. If you choose to create your application profile by referring to an external social network account (e.g. Linkedln), we may also collect the Personal Data you provide to us linked to your social network.

Please do not provide us with sensitive Personal Data revealing your racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, genetic data, biometric data, data concerning your health, data concerning your sex life or sexual orientation ("Sensitive Data"). If we need this information during the recruitment process, we will explicitly ask you to provide it to us as permitted by local law.

If, as part of your application, you provide us with Personal Data relating to a referee or any other person, please ensure that you have obtained that person's consent before providing us with their information.

Personal data from other sources

The Company may obtain Personal Data about you from persons who recommend you in connection with your application, if permitted by applicable law. If we need to conduct a background check on you during the recruitment process, we will ensure that you receive separate notice of the scope and consequences of such a background check.

We may also obtain information from time to time from third parties to help us gather information about your application, which may include, for example, recruitment agencies, headhunters and background checkers.

USE OF INFORMATION

Your personal data will be used by the Company for staff recruitment, management and planning purposes, to the extent permitted by local law, including to:

- To process your application;
- Assessing your abilities and qualifications for a position;
- Check your references;
- To respond to your enquiries and communicate with you about your application and to send you information about job or internship opportunities and changes to our terms and policies;
- To comply with and enforce applicable regulations; and
- To complete the hiring process if we offer you a position.

We do not use the Personal Information you provide to us to make automated decisions about your application. If you are hired, the Personal Information we collect in connection with your application will be incorporated into our human resources system and may be used to manage the re-hiring process. This information will become part of your employment record and will be used for employment and management purposes.

To the extent permitted by applicable law, the Company may also use your Personal Data as we deem necessary or appropriate: a) under applicable law, including laws outside your country of residence; b) to comply with legal process; c) to respond to requests from public and governmental authorities including those outside your country of residence; d) to enforce our terms and conditions; e) to protect our business or that of our affiliates; f) to protect our rights, privacy, safety or property, and/or that of our affiliates, you or any third party; and g) to enable us to pursue all available remedies or limit the harm that we may suffer.

DISCLOSURE OF PERSONAL DATA

The Company may share Personal Information with its affiliates involved in evaluating candidates for a particular position. We will make the information available to personnel who need to know the information for business purposes, including recruitment, human resources and information technology personnel, and the department responsible for the position for which you are applying.

The Company may share Personal Data with third party service providers who provide services on behalf of the Company such as hosting and operations sites, recruitment support services and similar services. The Company and its affiliates require service providers to protect the confidentiality and security of Personal Data and to ensure that Personal Data is processed only for the purpose of performing services on behalf of the Company and its affiliates and in accordance with applicable law. Service providers are not permitted to use or disclose Personal Data except as necessary to perform services on our behalf or to comply with legal requirements.

The Company may transfer Personal Data to a third party in the event of a reorganization, merger, sale, joint venture, assignment, transfer or other disposition of all or part of the Company's business, assets or stock (including in connection with bankruptcy or similar proceedings).

The Company may also share Personal Data if we believe it is necessary or appropriate to do so: a) under applicable law, including laws outside your country of residence; b) to comply with legal process; c) to respond to requests from public and governmental authorities including those outside your country of residence; d) to enforce our terms and conditions; e) to protect our business or that of our affiliates; f) to protect our rights, privacy, safety or property, and/or that of our affiliates, you or third parties; and g) to enable us to pursue all available remedies or limit the harm that we may suffer.

DATA TRANSFERS

We are part of an international group with offices in many countries. Your Personal Data may be transferred to other companies within the group worldwide, including to their service providers, who may access or retain your data for recruitment purposes. This may include the transfer of Personal Data to countries other than the country in which you reside. If you are resident in the European Economic Area ("EEA"), we will implement appropriate safeguards to protect your Personal Data when it is transferred to a country outside the ("EEA"), or to a country with access to it, which has not been found by the European Commission to provide an adequate level of protection. These safeguards include data transfer agreements. You can obtain a copy of these agreements by contacting us as set out in the "Contact Us" section below.

DATA RETENTION

We will retain Personal Information for as long as is necessary to complete the application or hiring process, except where a longer retention period is necessary or permitted by law. If you are not hired, we may also retain your Personal Information for a period of 12 months after responding to your application to consider whether your skills are suitable for other opportunities within the Company and/or one or more of its affiliates. We may delete Personal Data from inactive accounts from our database after sending you a reminder or as otherwise required by applicable legal or regulatory requirements. In addition, the Company may delete Personal Data about you (including your CV) from its database at any time and without providing a reason. Accordingly, please retain your own copy of the Personal Data you provide to us.

YOUR RIGHTS

You have the right to request access, rectification or deletion of your Personal Data. You have the right to object to or limit the processing of your Personal Data and the right to data portability. Where you have consented to the use of your Personal Data, you have the right to withdraw your consent at any time and we will apply your preferences from that point on. We will respond to your questions or complaints about the processing of your Personal Data. If you are not satisfied with our responses, you have the right to lodge a complaint with a supervisory authority.

For your protection, we can only fulfill requests for information associated with the specific email address you used to send us the request, and we may need to verify your identity before implementing your request.

SECURITY

We have implemented technical and organisational measures to protect your Personal Data from accidental or unlawful destruction, loss, alteration, disclosure or unauthorised access. We undertake reasonable efforts to ensure a level of security appropriate to the risk of the processing, taking into account the costs of implementation and the nature of the processing of Personal Data.

AMENDMENTS TO THE NOTICE

We may, at our sole discretion, amend this Notice at any time to take account of further developments in the Company, changes in the industry or legal trends. We will send you the revised Notice via the contact information you have provided. You can determine when the Notice has been amended by referring to the "Last Updated" at the top of this Notice. All changes will be effective as of the date of the "Last Update". By retaining and not withdrawing your application after these changes, you will be deemed to have consented to them. If you do not agree with the terms of this Notice, in whole or in part, you may choose to withdraw your application.
